Job Description

The Executive Assistant supports PFM+ by providing high quality, efficient and timely administrative and accounting support to the technical team, Project Manager and Project Leader. The position is responsible for ensuring that technical experts and programme outputs can be achieved through organisation and preparation. This position will provide project accounting support to the finance group to ensure high quality financial reports for the project. The Executive Assistant reports to the Finance Manager.Main Responsibilities:
  • Provide administrative and logistical support to the project team.
  • Participate in the collection and recording of project costs and accounting data
  • Providing bookkeeping and accounting support necessary to capture all project costs accurately in a timely manner
  • Support the procurement of project equipment and ensure all financials are recorded
  • Manage timesheets and work schedules of team members and the wider project team.
  • Keep track of project, contract, deadlines and payment milestones.
  • Ensure the data/information is filed electronically in a comprehensive and timely manner.
  • Arrange internal and external meetings if necessary
  • Arrange travel bookings and in-country transport logistics for the PFM+ team.
  • Document and archive information relating to the support of programmes and teams.
  • Ensure PFM+ implementing partners take forward the UKAid branding guidelines.
  • Note-taking / minute-taking at any reviews or meetings as requested
Skills/Experience:
  • A degree in Business Studies or equivalent
  • At least 3+ years of experience in a similar role
  • At least 3+ years with bookkeeping or general accounting experience
  • Experience in projects with international donors or large scale capacity building project
  • Experience with FCDO projects preferred but not essential
  • Proficiency in the Microsoft suite of applications i.e. Word, Excel, Outlook etc.
  • Strong administrative, organizational and project management skills.
  • Ability to juggle competing demands and work on several projects simultaneously.
  • Excellent interpersonal, written and verbal communication skills.
  • A very high standard of personal integrity.
  • Ability to prioritize effectively and work to deadlines.
